When I mention what I do to new acquaintances, I get this question a lot: What Is Wrong With My MF (Multi-Function) PRINTER?!  A major problem with printers these days is that they are designed to be disposable, a throw-away appliance.  The cheaper ones might only last for a year. Even the more expensive ones break down.  Then it could be more cost effective to get a new one rather than trying to get it fixed.

Here are some of the common printer problems:

Paper Jam

If you have a paper jam, the first thing to do is to pull out the paper tray. Sometimes the paper is stuck just as it comes out of the tray. You can also try this: carefully open up your machine and turn all the knobs and wheels that move the paper forward. If you can see where the paper is stuck, carefully give the paper a little tug to see if you can pull it out. If it feels like it might start to tear, stop pulling. Continue moving the knobs and wheels until the entire piece of paper has been removed. In rare cases, the jam is so severe that you cannot remove the paper.  Sometimes trying to remove the paper can bend some of the metal wires.   In that case, it’s probably time to look for a new printer.

Driver upgrade

Sometimes, with both Mac and Windows machines, your computer will take an upgrade overnight which then requires a new software printer driver for your printer.   Go to your printer’s website – Hewlett Packard, Dell, Brother, etc. – and download the new software. Once you have downloaded and installed the software, your printer should work again.  Call us if you need help.

Wireless printer won’t connect to the wifi

If your computer suddenly can’t find your wireless printer, somehow the printer lost its connection to the Wi-Fi router.  Turn both your computer and printer off and on again.  If that doesn’t work, input your Wi-Fi code into the printer control panel and you should be good to go.

New Ink Jet Cartridge doesn’t work:

Your printer tells you it is time to replace the cartridge.  You install the new one and still get the same error message!  This is most likely because the ink dried inside the printer nozzles.  This happens when you haven’t used your printer in a while.  If you still have a warranty on the printer, take it in to see if they can repair it.  They may decide to replace it.  If you routinely go a week or more without using your printer,  consider replacing it with a laser printer.

Printer won’t turn on

Sometimes a printer just won’t turn on. Check all of the connections. Is the cord firmly plugged into the wall outlet?  Is the cord firmly pushed into the back of the printer?  You might need to try a hardware reset of the printer back to its default settings.  If it still won’t turn on, remove the power cord and let it rest for a little while or overnight. If it still won’t turn on, it’s probably time to get a new printer.

What do you look for in a new printer? There are several options, which depend on your preferences and requirements:

  • Ink Jet vs. Laser – I certainly prefer laser printers. Yes, they are a little more expensive to purchase, but they cost less to operate in the long run, and your printed pages look better
  • Black vs. 4-color
  • Printer only vs. Multi-Function (Copy, Print, Scan, Fax)
  • Print one side only vs. print front and back – Many of the newer MF Printers have duplex printers.  I like this option because it saves on paper!

Wireless Keyboard – Recommendations

We received a call recently from a long-time customer who wanted to upgrade his wireless keyboard.  That was all the push Chris needed to do some research for a new toy!  But, before I reveal what his new favorite is, let’s talk a little about the different features you might look for in a new wireless keyboard.Wireless Keyboard - Logitech Craft

Mouse:

First, you need to decide if you want the keyboard to be paired with a mouse. The benefit is that you would only have to use one USB port on your machine.  The downside is that not all keyboards come with a mouse, and you may decide that the wireless keyboard you really want, doesn’t have a mouse.

Ten-Key:

What’s your preference?  Using the numbers along the row above the letters, or do you prefer to use the number pad off to the right of a standard keyboard?

Do you want to manage additional tasks from your keyboard?  I like that I can control the volume from my keyboard, I can open a window to send a new email, I can open a new browser window, and so much more.

Backlight:

Do you often work in a darkened room?  You may want to consider a backlit keyboard.  The laptops that Chris has been designing recently all come with a backlit keyboard which is useful when you’re working in bed next to your sleeping spouse.  If you primarily use your wireless keyboard at your desk, you probably don’t need a back light.

Size:

How big of a keyboard do you want?  Do you want a portable one that clips onto your tablet?  Should it be foldable to fit into your backpack? Or do you want a full sized wireless keyboard that you can leave on your desk?

Tactile Response:

Clicking?  Silent?  If this is important to you, make sure you know ahead of time what the keyboard will do.wireless keyboard - logitech MK 320

Ergonomics:

If you have issues with carpal tunnel or spend all day typing, you may want to look for a keyboard that has a special design to keep your wrists in the proper position while typing.

I have a laptop.  I don’t need a separate wireless keyboard!

That’s what I used to think.  But my laptop is on the small side and the keyboard is too.  My fingers were constantly confusing keys and mis-spelling words.  Worst of all, the heal of my hand would accidentally touch the keypad and the mouse would go flying to a different part of the screen.  It was very frustrating.  I’ve since learned that I’m not the only one to experience this.  I solved this by purchasing a wireless keyboard which is the size of a conventional keyboard and works really well for me.

Geek For Hire Recommendations:

  • Chris’ new favorite keyboard is called the Logitech Craft.  It has a funky knob on the top left side which allows you to adjust images in Photoshop or Illustrator. It has a backlit keyboard and (WHAT?!) can manage up to three devices from the single wireless keyboard!  It’s compatible with both Mac’s and PCs.   This one retails for $199, but Amazon currently has it priced at $175.  I’ve seen it on other sites at prices ranging from $179 to $199
  • The wireless keyboard I had been using for the past few years suddenly died last month.  I purchased a Logitech MK320. and I am loving it. It came paired with a mouse which means only one USB thingie.  That’s important to me because my laptop only has three USB ports.  It has a separate ten-key which I like.  And, as I mentioned above, I can manage more than just typing with this device! The keys are big enough that my fingers to confuse the “m” and the “n”.  Overall, I really like it and loved the price.  It retails for $40, but Amazon currently has it priced at $22.  Other sites have it for around $25.
  • And, only because I wanted a pop of color for this post, I took a look at a keyboard for kids.  I like this Duragadget keyboard because it looks like it’s great for learning, and it has some very good reviews.  Amazon has it for about $35.

When Should I Turn Off My Computer?

When I got my first computer, I would turn it off every time I left my office for more than a half hour. A few years later I would turn it off when I left for the day. Now, I’ll turn it off a couple of times a week. Why the change? Have you ever wondered: When Should I Turn Off My Computer? You might wonder how often you need to turn off your machine, or if you even need to turn it off at all!

Here’s what Chris says:

Do I need to turn off my machine?

The short answer is Yes! When you turn it off the machine will clean itself, reorganize files, empty the trash, install any updates, and generally make itself faster and more efficient for the next time you turn it on. Other reasons to turn your machine off include saving power.

It’s really a balancing act. The process of turning your machine off and back on takes its toll on the mechanics of your computer. But leaving the machine on all the time does the same thing. If you use your machine constantly throughout the day, by all means, leave it on. If you access your machine from a remote location, then you definitely need to keep it on most of the time!

Every couple of days save all of your documents, close all of your applications, and turn the machine off. Leave it off overnight, or just for a few minutes.

If you use it for only an hour or two at a time, then you should turn it off when you are done. If you know you won’t use your machine all weekend, you should turn it off.But, if you use your machine all day long, there’s really no need to turn it off every day. Turning your machine off once a week should be sufficient.

Remember, when you turn off your machine, don’t do it with the power button. Use the off button on the screen menu. This allows the machine to shut off gracefully.

General computer health & Well-being:When should I turn off my machine?

Some other things you should do for the general health and well-being of your machine are:

  • Always use a surge protector. These help even out any power spikes so that they don’t damage your machine. We also advise that you use a UPS (Universal Power Supply). This is a battery backup system that protects your equipment from power surges, and provides a limited time of battery life. This is helpful when you’re in the middle of working on a project when the power goes out. It gives you enough time to finish up and save everything. (There is an annoying and frequent beep to let you know that you are using battery power.)
  • During lightning storms, you should turn off AND unplug all of your electronics. Even a surge protector can’t always help protect your equipment if there is a nearby lightning strike.
  • Uninstall and delete any programs that you are no longer using. Even if you’re not running a program, it may still be processing in the background.  This will undermine the efficiency of your machine. (Yes, we can help you with this if you don’t feel comfortable choosing which programs to uninstall.)
  • Keep your machine clean! Periodically open it up and remove all the dust and pet hair that have accumulated. Dust tends to accumulate on the fan, which is there to keep your machine cool. If too much dust is there, the fan won’t run properly and your machine will overheat. (We can help you with this too!)
  • Finally, When Should I Turn Off My Computer?  At least once a week!

Windows 10 Update

Upgrading to Windows 10?

We continue to see machines that have upgraded to Windows 10 with serious problems.  And, I continue to get asked if machines should be upgraded.

Here’s the scoop:

  • If you have a Windows 7 machine, don’t upgrade unless you have a serious business need.
  • If you have a Windows 8 machine, you should be okay to upgrade, although you may still experience some issues
  • If you have a Windows XP or earlier machine, don’t (DO NOT!) upgrade.  Consider purchasing a new machine with Windows 8 or 10 already installed.

If you’re planning to upgrade do this first:

  • Back up your data.  Use an external Hard Drive if you have one, or upload to the Cloud
  • Make sure you have a list of all the programs and applications that you use.
  • Make sure you know what all of your passwords are, especially if you have asked your computer to remember them for you.
  • Make sure you know what your WiFi Router password is.

Tired of the Win10 “Nag” message?

I asked Chris how to get rid of the message that pops up frequently reminding you to UPGRADE NOW! WHILE IT’S STILL FREE!.  Here’s what he said:

  • “The only reliable method I’ve found so far to prevent a machine from presenting the “Get Windows 10 Upgrade” (GWX) nag message is to rename the GWX folder which contains the upgrade program.
    • See a small window icon in the tray, to the left of the clock in the task bar.
    • Go to the folder: “C:\Windows\System32” /and/ the “C:\Windows\SysWOW64”
    • Rename the “GWX” folder to something else – such as: “_GWX”, if it exists in either folder.  Note that you will see a popup titled “Folder Access Denied” and the message “You’ll need to provide administrator permission to rename this folder”.  Click on the “Continue” button to proceed with renaming the GWX folder.
    • Reboot your machine.
    • See that the small window icon is not present, and note that it does /not/ reappear”

Data Transfer vs. Data Recovery

We’ve been doing a lot of Data Recovery lately so I asked Chris to tell us what is involved in Data Recovery and how it is different from Data Transfer.

Although Data Transfer and Data Recovery are similar phrases, they are different in important ways.

Data transfer is the act of copying data directly from one device to another. (For example when you purchase a new Mac and need to transfer your data from your old PC.) Data transfer tends to be much faster than Data Recovery, because it uses the native copy function provided by the Operating System. But, if there are physical problems on the device, or if the filesystem on the device is corrupt, data transfer will not work because it is not tolerant of errors.

Data recovery is performed by specialized software that is tolerant of physical disk errors and errors in the filesystem. It takes much more time to perform Data Recovery because the process has several steps.

Although Data Recovery is much slower to produce a Gigabyte of data, it is tolerant of errors so it is capable of getting to files and putting them back together.

There are five main steps in Data Recovery:

  1. Is the device accessible?
    • if the disk controller is unresponsive, we would need to replace that and retest;
    • if the disk does not physically turn, we will not attempt to fix;
    • if the disk “clicks” when it is turned on, this indicates internal damage within the hard drive which we will not attempt to fix;
    • if the data is overwritten, we will not know this until after the data is recovered and you have inspected your data
  2. Media Analysis (to find where the good data blocks and the bad data blocks are)
  3. File Analysis (to discover what disk blocks comprise which files and folders, and in what order)
  4. Data Selection (to choose which files and folders should be recovered because they are interesting and necessary, and which files and folders should not)
  5. Data Production (the act of creating new files from the recovered data onto an external hard drive).

Our method of recovering data is “Read Only”, meaning that we will not open the hard drive to get to your data; We will connect your hard drive to an adapter, and attempt to access the data through the disk. We will not open your hard drive because we don’t have a “Clean Room”, and we don’t have the spare parts or the specialized equipment necessary to transfer your platters to another drive in a way that would work and not damage your data. If we were to physically open your hard drive, we would introduce significant contamination to your disk, and this would not improve the chances of getting back your data.

If we find that we cannot access your data, we will stop work, because proceeding will not improve the chances of our getting your data.

If we cannot get your data, and you have a business case for getting your data, we recommend that you send your hard drive to one of the major data recovery companies and not to a local company which says they can do it. Because that company will get “one bite of the apple”; they will need to be able to open the disk in a clean room, and have the resources to get your data, because there is a serious risk that your drive will be polluted by their attempt.

There are a handful of Data Recovery companies in the country which specialize in recovering data from physically bad hard drives. They have a clean room, spare parts, and invasive methods of getting your data. They charge a lot more than we do, but we are usually successful, and we can determine in a reasonable amount of time whether Data Recovery is something we are likely to be successful in doing or not.

Our most exciting Data Recovery story happened several years ago.  There was a fire near Gold Hill, Colorado.  Our customer’s home survived the fire, but the next spring, with all the snow melt and spring rains, a mud slide buried their basement.  Their computer was covered in several feet of mud.  Chris carefully cleaned the machine and then started the data recovery process.  Success!

We can recover data from Windows or Mac hard drives.  The device can be formatted using the Windows filesystem or for the Mac filesystem. It doesn’t matter to us if the computer that the device came from is bootable or not, because the device will be removed from the “source” computer and then connected to an adapter, which will allow the data to be accessed directly.

How Often Should You Get Your Mac or PC Tuned Up?

I recently brought my sewing machine in to get fixed.  It’s been sewing unevenly for the past several years, but I’ve just been living with it.  I’ve been living with it partly because it “wasn’t that bad” and partly because I really didn’t know where to take it.  Well, I finally realized how bad it was and asked around for a recommendation of where to take it.  I made an appointment and brought it in.  The nice woman behind the counter asked me how long it had been since my sewing machine had had a tune-up.  I told her it had been at least ten years.  She laughed (in a nice way) and told me they recommend a tune-up at least once a year.

I can understand that.  In fact, I can solidly get behind that!

How many times do you wait and wait?  How often have you thought “It’s not so bad.  I can wait two minutes for my internet page to load.” or “It’s normal for my machine to shut down on its own, isn’t it?”

We recommend that our customers get an annual tuneup on their machines – for both PCs and Mac’s.  Why?  When I asked my friend Karen why she did, she answered: “In one word?  Stress reduction.”

A few years ago, Karen got a nasty virus.  Chris came out and cleaned it all up and she was pretty impressed.  When it was time for her to get  a new machine, she asked Chris for help in the selection process.  I see her frequently and at least once a month she tells me how thrilled she is with her new machine.  When she got a postcard from us reminding her that a year had already gone by, she called right away for her appointment.  Chris checked it all out, deleted some unnecessary files that were gunking up the works, scanned for any viruses, and updated her new anti-virus, and she was good to go!

So, here is some of what happens during a tuneup:

  1. Chris does a scan to make sure there aren’t any viruses.
  2. He’ll do a general clean up to make the whole machine snappier.
  3. If you don’t have an anti-virus, he’ll add one.  If you do, he’ll make sure it’s up to date and accepting automatic updates.
  4. Chris will make sure your operating system is updated with all the necessary file uploads.
  5. He’ll answer any of your questions and provide training if you need that.

So now I know.  My car needs a tune-up every 3-5000 miles.  My sewing machine needs a tune-up every year.  And now you know that your computer needs a tune-up every year too!

What Is a Solid State Drive and Why Do I Need One?

For the past five years or so, whenever Chris had to replace a hard drive in a Mac or PC, or is designing a new computer for a customer, he always recommends that they get a Solid State Drive (SSD), rather than the traditional Hard Disk Drive (HDD).   Why?

First of all, here’s a great explanation from PC Magazine of how a HDD saves your data:

“The traditional spinning hard drive (HDD) is the basic nonvolatile storage on a computer. That is, it doesn’t “go away” like the data on the system memory when you turn the system off. Hard drives are essentially metal platters with a magnetic coating. That coating stores your data, whether that data consists of weather reports from the last century, a high-definition copy of the Star Wars trilogy, or your digital music collection. A read/write head on an arm accesses the data while the platters are spinning in a hard drive enclosure.”

And here’s a description from TechTerms on how the Solid State Drive works:

“While SSDs serve the same function as hard drives, their internal components are much different. Unlike hard drives, SSDs do not have any moving parts (which is why they are called solid state drives). Instead of storing data on magnetic platters, SSDs store data using flash memory. Since SSDs have no moving parts, they don’t have to “spin up” while in a sleep state and they don’t need to move a drive head to different parts of the drive to access data. Therefore, SSDs can access data faster than HDDs.”

For a long time, I just didn’t get it. Why is “newer” always “better” for these geeks?! Chris patiently explained to me some of the benefits.

More Robust:
Because a Solid State Drive has no moving parts, there aren’t any parts to break. This makes the SSD perfect for those who don’t count “grace” as one of their better qualities. It’s also a better choice for frequent travelers

Speed:
SSD’s are faster. I’ve read that they are 100 times faster than HDD’s. Machines with an SSD will boot faster, open programs faster, transfer files faster. Games process more quickly too. When seconds count, choose an SSD.

Lighter:
When you’re lugging a laptop through an airport, you want to shed every excess ounce that you can.  SSD’s weigh slightly less than the HDD’s.

Downside:
SSD’s are more expensive to purchase than HDD’s. But, considering that the SSD will last longer, that’s only a short term problem.

The Geek That Calls You Back – and Other True Stories

We get calls all the time from people who say “I’ve had this problem for a week, but my regular geek isn’t getting back to me.”  When people say that, it always makes me wonder.  How can you expect your customers to treat you with respect when you have a sub-standard level of professionalism?  We provide a professional service and treat our customers how we want to be treated.

The geek that lets you shoulder surf:  Chris likes for our customers to know more after their service than they did before. Ask questions! Chris will answer them, but more than that…

The geek that treats you like an intelligent human:  We’ve all seen that show where the geek comes to fix your computer and makes fun of you because you don’t know the difference between a RAM and a gig. Chris knows that you’re an intelligent person who has skills in areas other than fixing computers. He treats you with respect and kindness.

The geek that’s not on commission:  When you bring your computer to a “big box store” for repair, everyone you talk to is probably earning a commission. It’s in their best interests to tell you that your computer can’t be repaired, or that you’d be better off with this new computer on the shelf over there.

The geek that comes to your home:  Have you had a problem with your computer and you pack it up and bring it in to the store, but the problem magically disappears? Then comes back when you get it back home? Even laptops, which are supposed to “work everywhere”, will have issues only in one place. When we come to your home, all the problems that were there yesterday, won’t mysteriously disappear just because we walk through the door!

The geek with 30+ years of experience:  Yup, you read that number correctly. It makes me laugh when I see an IT company with two geeks that proclaim “OVER 15 YEARS OF EXPERIENCE!!” (Each geek has worked with computers for 7 or 8 years.)  Chris has been working with computers since high school.  He has kept up-to-date with changes over the years. Today, he’s just as comfortable with a MacPro or a Surface as he is with the old PDP-11.

The geek that’s been around for over 15 years:  We intend to be around for a lot more. That means consistent service for you from someone who knows you and knows how you work. There’s a trust there that’s built over the years.  We watch your kids grow up. There’s an honor about being let into our customer’s lives. We grieve with you when your house gets flooded or is in the middle of a wildfire. We celebrate with you when you get a new puppy, or your kids graduate from high school.
